  • product availability may change

  • we may update product details at any time

If an item becomes unavailable after you place an order, we will contact you and offer a refund or alternative.

4. Prices

All prices are shown in GBP (£).
Gaia Coffee Origins Ltd is not currently VAT‑registered, so no VAT is charged.

We reserve the right to change prices at any time.
The price you pay is the price displayed at checkout.

5. Contract Formation

A contract is formed once we email you an order confirmation. We reserve the right to decline or cancel any order.

Retail Orders
Retail orders must be paid in full at the time of purchase via our website.

 

Wholesale Orders
Wholesale customers may:

  • Pay upfront via the website, or

  • request payment terms (e.g., 30‑day invoicing), offered at our discretion.

​If payment terms are agreed, they will be confirmed in writing.
We do not offer credit accounts and do not carry out credit checks.

6. Shipping

Shipping costs and delivery estimates are shown at checkout.

Once your order has been dispatched, delivery times are the responsibility of the courier.
We are not liable for delays outside our control.

7. Returns & Refunds

Perishable Coffee Products

Coffee is a perishable food item. In accordance with the UK Consumer Contracts Regulations 2013, perishable goods are exempt from the standard 14‑day cancellation (cooling‑off) rights. For safety and hygiene reasons:

  • We cannot accept returns of coffee because you changed your mind

  • We cannot accept returns based on personal taste preference

  • We cannot accept returns of any coffee bags where the original seal has been broken, unless the product itself is faulty.

 

Equipment & Non‑Perishables

For non‑perishable items (such as brewing equipment or accessories), retail consumers have the right to cancel their order and return the item for any reason within 14 days of delivery.
The equipment must be unused, undamaged, and returned in its original, unopened packaging.

Faulty or Damaged Items

  • Retail Customers: Under the UK Consumer Rights Act 2015, you have a statutory 30‑day right to reject any non‑perishable item that arrives faulty, damaged, or not as described, and receive a full refund.

  • Wholesale Customers: Any damage in transit or order discrepancy must be reported to us in writing within 3 business days of delivery.

In all cases, please contact contact@gaiacoffeeorigins.co.uk with your order number and photographic evidence of the issue.

8. Retention of Title (Wholesale Only)

For wholesale orders:

  • Ownership of the goods does not transfer to the buyer until all invoices relating to those goods have been paid in full

  • Until payment is received, Gaia Coffee Origins Ltd retains full legal title

  • If payment is not made, or if the buyer enters insolvency, we may recover the goods at any time

This clause is standard in UK wholesale supply.

9. Liability

Nothing in these terms limits your statutory rights.

We do not exclude or limit liability for:

  • Death or personal injury caused by our negligence

  • Fraud or fraudulent misrepresentation

We are not liable for:

  • Losses caused by incorrect use of our products

  • Business losses (including loss of profit, revenue, or opportunity)

  • Delays or failures caused by events outside our control

Our total liability for any claim will not exceed the amount you paid for the product.
