Refunds & Returns Policy

At Gaia Coffee Origins, your experience matters to us. If something isn’t as expected, please contact us using the details below so we can address it promptly.

1. Perishable Coffee Products

Coffee is a fresh, perishable food item. For this reason:

  • We cannot accept returns of coffee because you changed your mind.

  • We cannot accept returns based on taste preference.

  • We cannot accept returns of opened or sealed coffee unless it is faulty or incorrect.

If your coffee arrives damaged, faulty, or incorrect, please contact us within 7 days of delivery.

2. Returns on Equipment (brewing tools & accessories)

You may return brewing equipment and accessories within 14 days of delivery, provided they are:

  • Unused

  • In their original packaging

  • In a resaleable condition

Items that have been used, damaged, or returned without packaging may not be eligible for a refund.

3. Faulty or Damaged Items

If any item arrives damaged or faulty, please email contact@gaiacoffeeorigins.co.uk with:

  • Your order number

  • A brief description of the issue

  • A photo, if possible

 

Once we receive and inspect the item, we will issue your refund or contact you if we need to discuss anything further.

4. How to Return an Item

To start a return for brewing tools or accessories, please email contact@gaiacoffeeorigins.co.uk.

We will provide:

  • The return address

  • Instructions for sending your item back

Return postage is the responsibility of the customer unless the item is faulty or incorrect.

5. Refunds

Once your return is received and inspected, we will:

  • Issue your refund, or

  • Contact you if we need to discuss anything further

Approved refunds are processed to your original payment method.
Please allow 3–5 working days for your bank to complete the transaction.

Shipping costs are non‑refundable unless the item was faulty or incorrect.

6. Exclusions

We cannot accept returns on:

  • Opened or sealed coffee bags (unless faulty)

  • Personalised or custom items

  • Gift cards
